Purpose
A time entry can carry one or more exceptions: conditions that need a reviewer's attention before the period is paid. UZIO marks the entry with an icon, marks the employee's row on the Employees Timesheet page, and offers a filter so you can work the list. Some exceptions stop you from approving the employee's hours until they are resolved. Others are informational.
Who can do this: users with Employee Timesheet permission for the employees concerned (typically the Employer Admin; Reporting Managers within their team scope).
The exceptions
| Exception | What it means | Blocks approval? |
|---|---|---|
| Missing Clock Out | The employee clocked in and never clocked out. The entry was flagged after your configured threshold (see Controlling How Employees Clock In and Out). | Yes |
| Running Time Entry | An entry still in progress. The employee is currently clocked in, or the shift ended and nobody clocked the entry out. | Yes |
| Manager Approval Pending: Manually Added | The employee manually added an entry that is waiting for a reviewer to accept or reject it. | Yes |
| Manager Approval Pending: Manually Edited | The employee manually edited an entry that is waiting for a reviewer to accept or reject it. | Yes |
| Missed Break | An eligible break was not taken within its window under the assigned break rule. | No |
| Short Break | A break ended earlier than its scheduled duration by more than the rule's variance. | No |
| Long Break | A break ended later than its scheduled duration by more than the rule's variance. | No |
Blocks approval means the employee's hours for the pay period cannot be approved until the exception is cleared. Clear a Missing Clock Out or Running Time Entry by entering the clock-out time. Clear a Manager Approval Pending item by accepting or rejecting the employee's change. Break exceptions are surfaced for review and premium pay; they do not hold up approval.
How the block shows up
- On one employee. The approval toggle is disabled. The hover text reads "The hours cannot be approved as the employee has some exceptions to be reviewed before approval." On the detailed timesheet you may see the longer variant: "The hours cannot be approved because either there are pending exceptions to review or an active running time entry."
- On Approve All. Employees with blocking exceptions are skipped and listed: "These employees have pending exceptions to review or an active running time entry." Everyone else is approved.
Resolving the exceptions is covered in Reviewing and Correcting Your Team's Timesheets. Approval and payroll sync are covered in Approving Timesheets and Syncing Hours to Payroll.
DSP note: On Amazon Delivery Service Partner accounts, UZIO also refuses changes to pay periods older than 30 days, with the message "This action cannot be performed because the pay period is older than 30 days." This is a retro-edit restriction that UZIO enables for DSP accounts; it is not an exception and it is not on by default for other accounts.
View exceptions for the current pay period
- Open Employees Timesheet from the Time Tracking menu.
- Select the pay group and pay period.
- Open the Filter and set Exception to Yes.
The list narrows to employees with at least one exception in the period. Click a name to open the detailed timesheet and resolve the flagged entries.

Tip: Work the Exception filter daily. Missing clock-outs are quick to fix while the day is fresh and slow to reconstruct at period end.
Common problems
Can I download an exceptions report?
Not at present. None of the standard time reports lists exceptions (Time Tracking Reports). The Time Entries report includes a Missed Break column and a missing clock-out flag per entry, which covers part of the need.
A break exception is showing, but the employee's hours approved anyway
That is expected. Missed, short, and long breaks do not block approval. They drive break premiums and remain visible in the entry's history. See Missed Break Handling and Break Premium Calculations.
Still stuck?
If you need an exceptions extract that the standard reports do not provide, please reach out to us at support@uzio.com or call +1-571-601-1752. Tell UZIO Support the pay group, the pay period, and which exception types you need listed.
