Missed Break Handling and Break Premium Calculations

Purpose

This guide explains what happens when an employee does not take a required break: how UZIO detects a missed break, the two handling modes and the attestation option, where deducted or flagged breaks land on the time entry, the reviewer's resolution options, and how missed and short break premiums are calculated and capped.

Who can do this: users with Employee Timesheet permission for the employees concerned (typically the Employer Admin; Reporting Managers within their team scope). The handling mode itself is configured by users with permission to manage Time Tracking settings.

When is a break "missed"?

A break is missed when it isn't taken within the eligibility window defined by the assigned break rule — "receive a break after working X h Y m," repeating "every X h Y m" for longer shifts. UZIO doesn't stop employees taking a break early; missed status depends on whether a break was recorded within the configured window, evaluated at clock-out.

The two handling modes

The break rule's Auto Break Action setting has two modes (this matches how the mode is configured in Break Rules Setup):

Employee attestation (Flag mode only). When a rule uses Flag mode, you can additionally require employee attestation — a prompt at clock-out where the employee confirms the break ("took it" / "prevented by work" / "chose not to"). Based on the response, the break is inserted or kept as missed. Attestation is a Flag-mode overlay; it is not available under Auto Deduct.

Placement (for flags and deductions), using an eligible window of 9:00 AM–2:00 PM and a 30-minute break: start of window (9:00–9:30), middle (11:30–12:00), end (1:30–2:00), or custom offset (1 h → 10:00–10:30).

Manager actions on missed breaks

Missed breaks appear in a Breaks Missing section on the time entry (Time Tracking > Employees Timesheet). Two options:

Add Missing Breaks

  1. Expand Breaks Missing on the entry and select Add Missing Breaks.
  2. In Edit Time Entry, review the pre-filled (highlighted) breaks; adjust times or premiums if needed.
  3. Save — standard validations apply (no overlaps; breaks within the entry).
  4. UZIO recalculates premiums. If a premium was already applied, you choose Use Newly Calculated or Keep Existing.

Acknowledge

  1. Expand Breaks Missing and select Acknowledge, optionally adding a reason.
  2. The missed-break item clears from the entry view — but any configured premium remains applied. The acknowledgment lands in the audit trail.

Expected outcome

  • After Add Missing Breaks, the time entry contains the inserted breaks and premiums recalculate — if a premium was already applied, you choose Use Newly Calculated or Keep Existing.
  • After Acknowledge, the missed-break item clears from view, the premium remains applied, and the acknowledgment (with any reason) is written to the audit trail.

Break premium calculation

  • Missed break premium: applied whenever a break is missed (if configured on the rule).
  • Short break premium: applied when a break ends before (start + duration − early-end variance). Example: scheduled end 10:00, variance 10 min → ending before 9:50 is Short and earns the premium.
  • Cap: a maximum of 1 hour of premium per break category (meal or rest) per time entry. Two missed meal breaks with 1-hour premiums on one entry still pay 1 hour in total.
  • Premium time is added to the entry's paid time and flows to payroll under the designated earning code when the pay period is synced (Approving Timesheets and Syncing Hours to Payroll).

Common mistake: Expecting "Acknowledge" to remove the premium. Acknowledging accepts the missed break; the premium stays. To change the premium, edit the entry's breaks so the recalculation runs.

Note: Every add, acknowledge, and premium decision is written to the audit trail.

Common problems

An employee took the break but forgot to record it — who fixes it?

Either side can:

  • The employee, if your settings allow self-service edits: while the shift is still running, they edit the running entry and add the break times; after the shift, they edit the entry on their timesheet. If Require manager approval is on, their correction sits pending until a reviewer accepts it — until then the break still evaluates as missed.
  • You or the manager, via Add Missing Breaks above (or a regular Edit on the entry), which applies immediately.

Can employees fix a break on the kiosk?

No — the kiosk records punches (and attestation) only; it has no add/edit surface. Break corrections happen on web or mobile, or by a manager/admin on the Employees Timesheet.

Is there one screen to record breaks for the whole team at once?

No — there's no central "punch breaks for everyone" action. Breaks are recorded per employee: by the employee in real time, or entry-by-entry through Add Missing Breaks / Edit. If unrecorded breaks are chronic, prevention beats correction — enable break-start reminders (Breaks Assignment and Notifications) or switch the rule to Auto Deduct.
