Time Entry Audit Trail

Purpose

UZIO keeps an immutable audit trail for every time entry. Each change, whether made by the employee, a manager or admin, the system, or an import, creates a read-only log record that captures what changed, who changed it, when, from where, and why. Use it for compliance, payroll reconciliation, and resolving disputes about recorded time.

Who can see it: users with Employee Timesheet permission see the history of the employees in their scope (typically the Employer Admin for everyone; Reporting Managers for their team). Employees see their own history only when you enable the setting below.

Let employees review their own time history

  1. Open Time Tracking Settings > Time Clocks.
  2. Set Show time entry change history to employees? to Yes.
  3. Save.

Employees then open their history from the History action on an entry in the web timesheet, or from History on the entry in the UZIO Mobile App. The employee-side steps are in Clocking In and Out (Web and Mobile).

Tip: Turn this on when you require notes on employee changes. An employee who can see the history understands why a note was asked for, and disputes about "who changed my hours" resolve themselves.

What each audit record captures

Actions captured: punch events (Clock In, Clock Out, Break In, Break Out), manual maintenance (Add, Edit, Delete), reviewer actions (Approve, Manager Edit/Delete), and policy events (Missed Break Added, Missed Break Acknowledged, Note Added/Acknowledged, Time Entry Attested, Hours Synced to Payroll, Timesheet Upload).

Fields tracked: Clock In/Out Time, Date, Duration, Shift, Job, Break, Rest/Meal Premiums, Manager Acceptance Status, Payroll Hours Status (synced or not synced), Notes, and Time Attestation Status.

System-generated events are recorded too. For example, when an employee is terminated, UZIO clocks out any running entry and approves the open pay periods as the system user; those records show System as the source. See Approving Timesheets and Syncing Hours to Payroll.

See who edited an employee's time card

  1. Open Time Tracking > Employees Timesheet and click the employee's name.
  2. On the entry you are investigating, choose History.

The log lists every change from the moment the entry was created, including the reviewer's accept or reject decision on employee changes and the Use Newly Calculated or Keep Existing choice made on a break premium.
