Time Tracking Reports and Bulk Import of Time Entries

Purpose

Time Tracking reports turn punch data into auditable records: punch-level activity, daily totals, and payroll-ready summaries. Use them to review hours, check compliance, confirm what will flow to payroll, and, if you run payroll outside UZIO, to export hours. This article covers the three standard time reports and the bulk import tool for loading time entries from another system.

Who can do this: users with access to the Reports module and Employee Timesheet permission (typically the Employer Admin). Other roles see the employees within their scope where their role allows reports.

Where to find time reports

Open Reports > Time Reports and run the report you need. Reports generate in the background. When one is ready you receive a notification, and the file is available under View Report(s) for that report.

Tip: The Time Entries report can be run by date range or by pay group.

Time Entries Report

A date-wise list of each employee's clock-in and clock-out activity, worked durations, and missing clock-out flags. It also shows whether each mobile punch was made inside or outside the geofence.

Daily Hours Worked Report

A day-by-day breakdown of hours for the selected period. Use it to review daily totals across regular and premium hour types.

Columns: Regular Hours, Overtime Hours, Double Overtime Hours, Holiday Premium Hours, Total Hours Worked.

Payroll Hours Summary Report

A consolidated view of regular, overtime, and double-overtime totals plus missed-break premiums, with each employee's approval status, so you can confirm what is ready for payroll.

Columns: Regular Hours, Overtime Hours, Double Overtime Hours, Meal Break Premium Hours, Rest Break Premium Hours, Paid Time Off, Holiday Hours, Holiday Premium Hours, Total Hours.

Tip: Run this report after you approve and before you sync. It is the quickest way to confirm that nobody is left unapproved. See Approving Timesheets and Syncing Hours to Payroll.

Bulk Import Time Entries

Use the import to load clock-ins, clock-outs, and breaks from another system so you can process payroll in UZIO without re-keying. The upload uses a standard template and creates entries in row order.

DSP note: The Time Entries Import action is hidden on Amazon Delivery Service Partner accounts. DSP time entries come from employee punches or from admin corrections on the detailed timesheet.

To import time entries:

  1. Open Time Tracking > Employees Timesheet.
  2. Click the Time Entries Import icon.
  3. Download the template.
  4. Populate the file using the date and time formats shown in the template.
  5. Order the rows correctly (see below), then return to Time Entries Import, choose the file, and submit.

Template fields

Populate these columns as shown in the template: Employee ID, Employee Name, Entry Date, Job code, Break code, Clock In, Clock Out, Timezone, Duration, and Notes.

Each row is either a main entry (the start and end of a shift, which may contain breaks) or a break. Fill Break code only on break rows; leave it blank on the main entry row.

Mandatory row order

UZIO processes rows in order. List the parent (main) time entry first, immediately followed by its break rows. The system must create the shift before it can attach breaks to it.

Example (correct):

  • Parent: 2025-11-03, 09:00–17:00
  • Break: 12:30–13:00

Warning: If a break row appears before its parent, the break fails validation or attaches to the wrong entry. Keep each parent immediately above its own breaks.

Validations

The upload checks required fields, date and time formats, employee identity, and logical sequences: Clock In before Clock Out, breaks within the parent entry, no overlaps, no duplicates, and no breaks without a parent. Imported entries are also subject to the approved and synced period locks described in Approving Timesheets and Syncing Hours to Payroll.

Error handling

If any row fails, UZIO generates an error file in the File Center. Download it to see the row number and error message, fix the file (keeping the row order), and upload again.

After a successful upload

Imported entries appear on the Employees Timesheet grid and follow your existing rules for overtime, premiums, and approvals. Review and approve them, then Sync Hours to Payroll so the hours flow into pay calculations.

Note: Geofencing does not apply to imported, web, kiosk, manual, or API entries. Only mobile-app punches carry a geofence check. Imported entries show their Source on the Time Entries report.

Common problems

Is there an overtime-only report across employees?

No. None of the three standard reports filters to overtime alone. Run the Payroll Hours Summary (or Daily Hours Worked) report, export it, and filter or sort on the Overtime Hours column in your spreadsheet tool.

Is there an exceptions report?

No. The Time Entries report includes a Missed Break column and the missing clock-out flag per entry, which covers part of the need. For approval blockers, use the Exception filter on the Employees Timesheet page instead. See Understanding Time Entry Exceptions and What Blocks Approval.
