UZIO Payroll Enhancements

IRC Section 127: Educational Assistance

UZIO now manages educational assistance under IRC Section 127, including the $5,250 annual limit across tuition and student loan repayment and the applicable tax treatment as employees reach the limit.

What's New

UZIO supports two ways of providing Section 127 educational assistance:

  • Reimburse employees through payroll: Use Section 127 Tuition Reimbursement or Section 127 Loan Repayment. The amount is paid to the employee through payroll.
  • Pay the school or loan servicer directly: Use the Educational Assistance Type (IRC Section 127) setting on an employer contribution and select Tuition & Fees or Loan Repayment.

UZIO applies the $5,250 annual exclusion, the treatment for amounts above it, and applicable state rules automatically.

Transition from Previous Tuition Earnings

The previous Tuition Assistance and Non Tax Tuition Assistance earnings are being replaced by the new Section 127 earnings and are no longer available for new setup.

If you used either of the previous tuition earnings during 2026, a Section 127 Tuition Reimbursement earning has been created for you, carrying across your existing W-2 and Box 14 settings. Your historical payroll records remain unchanged, while assistance already provided during 2026 is included in the employee's annual Section 127 count so the limit continues from where it left off.

Examples

  • Nothing paid yet this year: The full $5,250 is available. A $4,000 reimbursement through the new earning is excluded in full, and taxable wages do not change.
  • $3,000 already paid under Non Tax Tuition Assistance: A further $2,250 through the new earning is excluded in full.
  • $4,000 already paid under Non Tax Tuition Assistance: A further $2,250 through the new earning is split, with $1,250 excluded and $1,000 added to taxable wages.
  • $6,000 already paid under Tuition Assistance: The $5,250 exclusion is already used for 2026, so any further educational assistance paid this year is taxable in full.

ICHRA Deductions

If you offer an Individual Coverage HRA (ICHRA), you can now use dedicated payroll deductions for the employee's share of the individual policy premium instead of using a general HRA or medical deduction.

What's New

  • ICHRA Pre-tax: A Section 125 deduction that reduces federal, Social Security, and Medicare wages in the same way as Medical Pre-tax.
  • ICHRA Post-tax: Taken after tax and does not reduce taxable wages.

How to Set It Up

  1. Go to Payroll → Company Deduction List → Add Deduction.
  2. Select the appropriate ICHRA deduction.
  3. Assign it to employees and enter the applicable amounts.

For Benefits and API Integrations

These two deductions are not available through the standard benefits sync. Amounts can either be entered directly or provided by a benefits partner through the UZIO API.

For API partners, the deduction code is ICP for ICHRA Pre-tax and ICA for ICHRA Post-tax.

Where This Shows Up

The deduction appears under its own name on the employee pay stub, the Deduction History report, and the Payroll Register. Your existing HRA Pre-tax deductions remain unchanged.

UZIO HRIS Enhancements

Document Signing, Now Native to UZIO

Creating, assigning, and signing custom documents in UZIO is now powered by UZIO's own native e-signature experience, replacing the previously embedded Dropbox Sign workflow.

Applies to custom documents configured by an Employer or Broker.

What's New

  • Configure document templates in UZIO: Place Signature, Text Field, Checkbox, and Date fields directly on your document using the new Configure Fields screen.
  • Automatically fill employee and employer information: Configure fields such as Name, SSN, Home Address, and employer information. Applicable values are populated from the employee or employer profile.
  • Employer signatures: When an employer signature is required, select an employer user or the employee's Reporting Manager as the Employer Signatory.
  • Assign documents using the familiar workflow: Continue assigning documents with recipients, due dates, and notification options. When a recipient selects Edit & Sign, the document opens in UZIO's native signing experience.
  • Built-in audit trail: Signed documents include an audit page with the Document ID and information about who sent, viewed, and signed the document, along with timestamps and IP addresses.

What Is Changing

  • The Dropbox Sign window previously used for configuring and signing custom documents is replaced by UZIO's native experience.
  • The previous choice between Upload Only and Configure and Upload is replaced by one Add Document flow.
  • Declining a document and signing on an employee's behalf while logged in as the employee are no longer available.

Migration of Existing Documents

  • Your existing document templates will be automatically migrated to UZIO over the next week, with their configured fields carried over. You do not need to recreate them.
  • Documents already sent to employees or employers for signature through Dropbox Sign will continue there until completed.
  • As templates are migrated, new documents assigned from those templates will use UZIO's native e-signature experience.
  • Completed documents remain available in UZIO and can be accessed and downloaded as they are today.
  • During the migration period, you may see some documents open in Dropbox Sign while newer documents open in UZIO.

UZIO Mobile App Enhancements

W-2 Delivery Method in the Mobile App

Employees can now choose how they want to receive their W-2 directly from the UZIO mobile app. Previously, this preference could only be managed through the Employee Portal on the web.

How It Works

  • From the W-2 Forms page, employees can select Set W-2 Delivery Method from the three-dot menu.
  • Paper and Electronic Delivery is the default option.
  • Employees can choose Electronic Delivery Only.
  • When an employee switches to electronic-only delivery, UZIO displays the W-2 Form Electronic Delivery Consent Notice. The preference is changed only after the employee selects I Agree.
  • Employees can return to the same page to update their delivery preference when permitted.

UZIO Legal Updates

Privacy Policy and Terms of Use Updates

Alongside the native e-signature release, we have updated the UZIO Privacy Policy and Terms of Use to cover electronic signatures and electronic records. The main changes are summarized below.

Privacy Policy

  • Electronic Signature Data is now a named category of information we collect. When you use the electronic signature functionality, this may include your name, email address, signature image, date and time of signature, IP address, device and browser information, authentication details, and the audit trail associated with the signing process. This information is collected to facilitate, authenticate, and maintain records of electronically signed documents.

Terms of Use

  • The Services expressly include electronic signing. You may electronically review, execute, and submit documents through the Site, and your employer may require you to sign employment-related forms, agreements, notices, and acknowledgements this way.
  • Signing electronically is your consent. By reviewing, completing, electronically signing, or submitting a document through the Site, you consent to the use of electronic records and electronic signatures. Your electronic signature reflects your intent to sign and be bound by the document, and has the same legal effect as a handwritten signature where recognized under applicable law.
  • Signed documents are retained electronically. Documents submitted electronically may be retained in electronic form by your employer, or by UZIO on your employer's behalf, together with an electronic audit trail of the signing process. You are responsible for reviewing documents before signing and submitting them.
  • Employer responsibilities are set out. Employers using the electronic signature functionality are responsible for obtaining consent from employees and other signatories, determining which documents are appropriate for electronic signature, verifying the identity and authority of signatories, and maintaining internal controls over access to the functionality.
  • UZIO provides the functionality as a technology platform. We do not review, verify, or approve the content, legality, enforceability, or appropriateness of any document executed through the Site, and are not responsible for determining whether a document or transaction may legally be executed using an electronic signature.
  • Employee consent now covers signature data. The written consent employers are required to obtain from their employees before using UZIO products now expressly covers signature services and the processing of signature images.
