Time Tracking Setup and Configuration

Purpose

This is the anchor guide for turning on Time Tracking. Setup is a one-time, guided sequence that becomes available after UZIO enables the module for your account. It has six steps, matching the Time Tracking Settings tabs: Employees, Overtime Rules, Break Rules, Geofence, Schedule, and Time Clocks. Each step below links to its detailed article.

Who can do this: users with permission to manage Time Tracking settings (typically the Employer Admin).

DSP note: On Amazon Delivery Service Partner accounts, Time Tracking Settings has an additional Cortex Integration tab for the Amazon-side Cortex connection. See DSP on UZIO: What's Different.

Before you start: enable the module

Time Tracking is an add-on that UZIO turns on for your account. If you do not see it yet:

  1. Sign in to the Employer Portal.
  2. Click Time Tracking in the left navigation.
  3. Click I am Interested to send an activation request to UZIO.
  4. UZIO reviews the request and enables the module. There is no in-product status to watch.
  5. Log out and back in. Schedule and Time Tracking now appears in the left menu.

Note: Only users with the Time Tracking manage permission (typically the Employer Admin) can request activation. Once the module is on, only the employees you add in step 1 can track time.

The setup sequence

1. Add employees

Click Select Employees, search or filter, choose, and confirm. Prerequisite: each employee must belong to a pay group with an active payroll calendar. Employees without one cannot be selected. Details: Employee Setup and Rule Assignment.

DSP note: On Amazon DSP accounts, overtime-eligible employees are enrolled automatically into Time Tracking. Auto-enrollment stays suppressed until this first-time setup is complete, so finish the sequence before expecting employees to appear on their own. Details in Employee Setup and Rule Assignment.

2. Assign overtime rules

UZIO ships a built-in Default rule: the workweek starts on Sunday, weekly overtime starts after 40 hours, and there is no seventh-consecutive-day rule. All overtime-eligible employees are mapped to it by default. If your policy differs (daily overtime, double time, a 7th-day rule, a different week start), add a rule and assign it. Details: Overtime Rules Setup and Compliance Controls.

Note: Overtime rules apply to non-exempt employees. Exempt salaried employees are assigned the None rule automatically.

3. Create and assign break rules

No break rules exist by default. Employees cannot record breaks until at least one rule is created and assigned. Configure break types (paid rest, unpaid meal), durations, eligibility windows, missed-break handling, and premiums. Details: Break Rules Setup.

4. Set up geofences (optional)

Define an allowed punch area around each work location and choose whether out-of-boundary mobile punches are blocked or only flagged. Details: Geofence Management.

5. Schedule settings (if Scheduling is enabled)

The Schedule tab appears only when the Scheduling module is enabled for your account. Set shift notification preferences: publish alerts, reminders before a shift starts or ends, early and late clock-in windows, No Show notifications, and late clock-in alerts to the employee and manager. Details: Schedule Settings and Notifications.

6. Time clocks and general controls

Enable the capture modes (Web, Mobile with optional geofence enforcement, Kiosk with a login method and optional photo security), then set the general controls: whether employees can add, edit, and delete their own entries, whether their changes need manager approval, mandatory notes, change-history visibility, attestation, time display format, the Missing Clock Out threshold, and the long-running-entry reminders. Click Save and Publish. Details: Controlling How Employees Clock In and Out.

What happens next

Once setup is published, the employees you added can punch on the enabled platforms and their hours calculate under the assigned rules. Your ongoing work moves to two pages:

Employees learn their side in Clocking In and Out (Web and Mobile) and Using the Time Kiosk. Reporting Managers use Managing Team Timesheets.

Common problems

I clicked "I am Interested". Who approves it, and how long does it take?

The request goes to UZIO, not to anyone in your company. There is no status indicator. If Schedule and Time Tracking has not appeared in your left menu after you log out and back in, see Still stuck? below.

How do I exclude someone from time tracking?

Leave them unselected, or remove them, on Time Tracking Settings > Employees. Removing an employee ends their access immediately; their past entries are kept.

An employee can't update their time card. Why?

Their hours for the period are approved, or the period is synced to payroll. Set the employee back to Not Approved on the Employees Timesheet page; if the period is synced, un-sync it first. See Approving Timesheets and Syncing Hours to Payroll.

Can we use only the kiosk?

Yes. On the Time Clocks tab, leave Web and Mobile unchecked, add a kiosk, and save.

What is "Missing Clock Out"?

The employee clocked in and never out. After your configured threshold the entry is flagged. The employee, or a reviewer, adds the missing clock-out time, and the employee can start a new entry meanwhile.

Common mistake: Completing setup without creating break rules because the default overtime rule made everything look ready. Overtime has a default; breaks do not. Without an assigned break rule there are no recorded breaks and no missed-break compliance tracking.

Still stuck?

If the module has not appeared a business day after you sent the activation request, please reach out to us at support@uzio.com or call +1-571-601-1752. Tell UZIO Support your company name, the date you clicked I am Interested, and the name of the user who sent it.
