Clear I-9 Integration: Streamlining I-9 and E-Verify Processes

Clear I-9 by HRlogics is an automated system for I-9 Compliance. We’re excited to introduce Uzio’s integration with HRlogics for Clear I-9. A powerful solution that simplifies and automates your I-9 and E-Verify workflows. New hires complete Section 1 directly through Uzio, while Clear I-9 manages Section 2 verification and seamlessly connects to E-Verify for real-time employment authorization.

Seamless Integration with Clear I-9

• Easily connect your Clear I-9 account directly through Uzio using your unique Customer ID.
• Manage I-9 form completion and E-Verify processes directly within the Uzio platform for a unified experience.

Worksite Mapping

• Map your Uzio work locations to corresponding Clear I-9 worksites.
• Ensure compliance and proper role-based permissions are applied during employee verification.

Improved Workflow for I-9 Forms

• Section 1: Employees can complete this section during onboarding via Single Sign-On (SSO) without leaving the Uzio platform.
• Section 2: Employers complete this section in Clear I-9, with real-time data synchronization ensuring accuracy.

New I-9 (E-Verify) Form

• A dedicated I-9 (E-Verify) document is now available in the Document Library.
• Assign it when inviting employees for the onboarding.

Real-Time E-Verify Status

• Automatically submit completed forms to E-Verify for employment authorization checks.
• View real-time results, such as Employment Authorized or Tentative Non-Confirmation, directly within Uzio.

Mandatory Document Completion for Onboarding

We’ve introduced a new feature to ensure prospective employees complete all required onboarding documents during the self-onboarding process. If any documents are pending acknowledgment or action, employees must complete them first by clicking the Actions button next to the document. If they try to proceed without completing the documents, a popup will remind them to address the pending documents. This ensures a smoother onboarding process, improves compliance, and helps employers manage required documentation efficiently.

UZIO Scheduling Enhancements

Budget Tracking for Work Locations

We are excited to announce a powerful enhancement to our scheduling feature that will empower managers to stay on top of their budgets while creating schedules for work locations.

Managers can now:

1. Enter Budgeted Hours and Cost: Set a budget for the total hours and costs for each work location.
2. Real-Time Budget Tracking: While creating or editing a schedule for a specific location, view a comparison of:

• • Scheduled Hours vs. Budgeted Hours
  • Scheduled Cost vs. Budgeted Cost

Open Shifts for Multiple Locations

Another addition to our scheduling module is Open Shifts, a new feature designed to simplify shift allocation and give employees more control over their schedules while maintaining oversight for managers.

Managers can now:

1. Create Open Shifts: Designate shifts as "open, allowing employees to view and claim them through the mobile app. These shifts will appear in a separate row “Open Shifts” on the scheduling screen.

2. Manage Claims: Managers receive notifications when employees claim an open shift and review these requests. Managers can then:
   • Approve the request to assign the shift to the employee.
   • Reject the request if the shift cannot be allocated to the employee.

Shift Swaps and Offers

We’re excited to introduce new Shift Swap and Shift Offer features that bring flexibility to employee scheduling while keeping managers in control.

Key Features:

• Employees can request to swap their shift with other employees or offer their shift to other employees.
• The employees can accept or reject the swap/offer request.
• If accepted, the swap/offer request is sent to the manager for final approval.
• Once approved by the manager, the shifts are swapped between the employees. In case of an offer, the shift is assigned to the second employee.

Shift History Tracking for Managers

To enhance visibility and accountability in shift management, we’ve added a comprehensive Shift History Tracking feature. Managers can now view the complete history of all shift-related requests and actions in one place, making it easier to monitor and manage schedules.

Managers can now:

1. Track Claims: View the history of open shift claims, including:
   • Which employees claimed the shift.
   • Whether claims were approved or rejected.
   • The timestamp of each action.
2. Monitor Shift Swaps and Offers:
   • See details of swap and offer requests, including:
     • Origin of the request (initiating employee).
     • Responses from the other employee (accepted or rejected).
     • Final manager approval or rejection.
   • Track all actions chronologically with timestamps.

Uzio Payroll Enhancements

Quarterly and Annual Frequency Payroll Options

We have made a significant enhancement to our payroll system by adding Quarterly and Annual Payroll Frequency Options under Special Payroll!

Family-owned and smaller businesses often have unique payroll needs. Whether it’s managing seasonal workforce schedules or simplifying payroll for owners and select employees, these new options provide a streamlined and practical solution.

How It Works

• Select Your Pay Frequency: Choose Quarterly or Annual payroll as needed.
• Set Pay Dates: After selecting your desired pay frequency, manually set the pay period and pay date. For example, for Annual payroll, set the pay period as 1/1/2024 to 12/31/2024. If the wages are to be accounted for in 2024, ensure the pay date is also within 2024. Then click "Continue.
• Similarly, for Quarterly payroll, set the pay period for each quarter, such as 1/1/2024 to 3/31/2024 for Q1, and repeat for subsequent quarters.

You will see all employees listed, regardless of their pay frequency setup in their profiles. Manually select the employees to include in the payroll run.

Miscellaneous Enhancements

Advanced Timesheet Access Controls for Reporting Managers

Previously in the Reporting Manager role, Employees Timesheet was always given with the edit access. With this update, you now have the flexibility to configure permissions for this role. You can set access levels to one of the following:

• No Access: Restricts the Reporting Manager from viewing or editing the timesheet.
• View Access: Allows the Reporting Manager to view the timesheet without making any edits.
• Full Access: Grants the Reporting Manager full editing capabilities.

This enhancement provides greater control and customization, ensuring access permissions align with your organization's requirements.
