UZIO Time Management Enhancements

Manager’s Approval for Employee Edits in Timecards

Previously, when employees manually added or edited timecards, managers were not explicitly notified of the changes. Reviews happened only at the pay period level, which often led to oversights, and missed issues.

With this update, a new Manager Approval feature has been introduced. In addition to employees submitting their own edits, it now provides an extra layer of review before those changes become finally approved for payroll.

Configuration

To enable this feature, go to Time Tracking → Time Tracking Settings → Time Clocks and locate the option at the bottom of the page.

Require notes on edits

In the same section, you can turn on the option to require a note whenever a time entry is added or edited by any user. 

Automatic notifications

The platform automatically notifies the reporting manager via email whenever a direct report creates or edits a time entry that requires approval. This ensures managers are alerted quickly, unverified changes are reviewed promptly, and a clear audit record is maintained.

Unresolved Exceptions

With the introduction of the this new feature, the system now supports three types of exceptions that may appear on a timecard:

• Manager approval required for a manually added / edited timecard by an employee
• Missing clock-out time
• Missed breaks recorded on the timecard

Of these, the first two exceptions must be resolved before payroll hours can be approved. If any of these exceptions are present on a timecard within the pay period, the system will block payroll approval for those hours until the issue is addressed.

To streamline review and resolution:

• A quick filter is available to help managers focus on timecards with unresolved exceptions
• An exception icon highlights affected timecards, making them easy to identify in the pay period view

When Exceptions are checked, the user will see the details as shown below

With this extra layer of review, it prevents timecards from being processed into payroll. By blocking approval when key exceptions exist.

Managing Multiple Notes for a Timecard

Previously, each timecard could only hold a single note. There was no way to add a new note, and users were required to edit the existing note to add additional comments.

With this enhancement, UZIO now preserves a complete chronological history of all notes added by employees, managers, or administrators:

• All notes are saved in order, creating a reliable audit trail
• Notes can be added independently without making edits to the timecard
• When an employee adds a note, managers see an orange icon signaling it is unread
• Once reviewed and marked as read, the icon changes to gray

This improvement strengthens communication between employees and managers, increases transparency, and ensures that no context is ever lost in timecard-related interactions.

Timecard History

Previously, UZIO only displayed the most recent version of a timecard. While changes were applied in the background, the details were not available on the user interface for viewing. As a result, earlier edits could not be seen, and there was no visibility into who made the change, when it occurred, or why it was done. This created gaps in transparency and made it harder to review or resolve discrepancies.

With this enhancement, UZIO now started showing complete history of every change made to a timecard from the moment it is created on the user interface. A History icon on each timecard allows users to view a detailed timeline of updates and actions, giving both employers and employees a clear and accessible record.

Each entry in the history log will display:

• Timestamp of the action
• User who made the change
• Source of the change such as Web, Mobile App, or Kiosk
• Type of action such as Time Entry Added or Modified, etc.
• Fields that were updated
• Old and new values for each field
• Notes added at the time of the change
• IP address of the user’s device when the action was performed

This enhancement delivers a transparent audit trail, strengthens accountability, and ensures accurate tracking of timecard modifications. Beyond daily visibility, it also supports compliance requirements and simplifies audits, giving both employers and employees confidence in the accuracy of their records.

Mobile App Enhancements

The UZIO mobile app now includes the same core enhancements available on the web platform, ensuring a consistent and transparent experience across both channels.

What managers can do from the mobile app

• Review and approve or modify manual timecard entries submitted by employees
• Act on pending changes before they are finalized or synced to payroll
• Access the full chronological notes history for each timecard, including the ability to add notes without editing the time entry
• See clear indicators for unread notes, which remain orange until reviewed and then change to gray
• View complete timecard history, including:
• Timestamps of each action
• User details
• Source of the change (Web, Mobile App, or Kiosk)
• Impacted fields
• Old and new values
• Notes added at the time of change
• IP address of the user’s device

These enhancements provide managers with the same visibility and control on mobile as on web, ensuring accurate record-keeping, real-time oversight, and a full audit trail to support compliance and operational accuracy.

New API Endpoints

To give developers more flexibility and visibility into payroll and time tracking data, we’ve added two new API endpoints to the UZIO platform:

Get All Time Entries

Retrieve a comprehensive list of employee time entries for a given period. This endpoint supports better reporting, integrations, and auditing of time-related data.

Get Payroll Information by Date Range

Access detailed payroll information for a specific date range. This makes it easier to align payroll data with financial systems, run custom reports, and validate compliance across pay cycles.
