Break Guardrails

Break Guardrails give employers more control over how breaks are taken and recorded. This new section inside the Break Rule setup helps ensure that breaks follow your organization’s expectations and support compliance.

You can guide break behavior using four options.

Prevent Early Break End
This setting stops employees from ending a break before the required duration has passed. If an employee attempts to end a break early, the system shows how much time remains. For Example, A break begins at 9:30 AM and lasts 30 minutes. The system does not allow the employee to end the break before 10:00 AM.

Auto End Break
When enabled, the system ends the break automatically once the scheduled duration finishes. For Example, A break starts at 9:30 AM for a 30 minute duration. At 10:00 AM the system ends the break even if the employee forgets to clock in.

Flag Short Breaks
This option marks a break as Short when it ends earlier than the allowed threshold. You define how many minutes before the scheduled end time the break must reach to avoid being flagged. For Example, A break is scheduled from 9:30 AM to 10:00 AM. You set the variance to 10 minutes. If the employee returns before 9:50 AM, the break is marked as Short.

Flag Long Breaks
This option flags a break as Long when it extends past the scheduled duration plus a variance you define. For Example, Using the same 9:30 AM to 10:00 AM break with a 10 minute variance, if the employee returns after 10:10 AM, the break is marked as Long.

These guardrails provide structure while giving managers and employees a clearer understanding of how breaks should be taken.

Break Premiums for Short and Missed Breaks with Premium Capping

UZIO now applies premium pay to both missed breaks and short breaks, giving employers a consistent and compliant way to handle break exceptions.

Premiums for Short Breaks
If a break ends early and is labeled as Short, the system now applies the same premium logic used for missed breaks. For Example, If a rest break is scheduled for ten minutes but the employee takes only five, and your rules mark that as Short, the system applies the premium.

Premium Capping
To maintain compliance, the system now limits premium hours to one hour per break type for each time entry. A time entry cannot exceed two hours of total premium across Meal and Rest categories. For Example, If an employee misses both a meal break and a rest break during a shift, the total premium applied will not exceed two hours.

Enhanced Time Attestation
When acknowledging a missed or short break, employees now provide a required reason. These reasons appear in the time entry history to support accurate reporting and audits.

These enhancements make break premium calculations more accurate and fully traceable.

Enhancements to Add or Edit Time Entry and Missed Break Flow

Updates to manual time entry ensure that break rules and premium calculations stay accurate, even when entries are adjusted after the fact.

Automatic Evaluation
Any time a user adds or edits a time entry, the system automatically evaluates break rules and identifies missed or short breaks. For Example,
If a break is removed or its timing is changed, the system rechecks the break configuration and updates premiums accordingly.

Premium Mismatch Review
If the new calculation differs from what is currently stored, the system displays a comparison so you can approve or decline the change.
For Example, If a missed break premium was originally applied but the updated times now include a complete break, the system alerts you and allows the premium to be removed.

Automatic Removal of No Longer Applicable Breaks
If a missed or short break is no longer valid after your edits, the system removes it automatically.

Premium Display at the Entry Level
Premiums now appear at the time entry level rather than per break, offering a cleaner and more intuitive view for employees and managers.

These updates ensure that time entries always reflect the most accurate break and premium information.

UZIO Time Off Enhancements

Unlimited Accrual Method in Time Off Policies

Many employers offer an unlimited time off program where employees can take leave as needed without maintaining a traditional balance. Until now, this was handled through a workaround that required assigning a yearly accrual amount. While functional, it often created confusion because the balance appeared on pay stubs and reports, suggesting a defined entitlement.

To simplify this, UZIO now includes a dedicated Unlimited accrual method that accurately supports these policies without showing or calculating balances. When you select Unlimited while creating or editing a time off policy, the system displays only the fields needed to manage requests.

Here is how the system behaves when a policy uses the Unlimited method

  • Employees submit time off requests the same way they do today.
  • Balances always remain zero and do not move into negative values.
  • All screens and reports reflect a consistent zero balance, creating a clear and predictable view for both administrators and employees.
