Running and Scheduling Standard Reports

Purpose

UZIO ships a set of standard reports for payroll, taxes, time, time off, HR and benefits. You run them from the Reports page, either on demand or on a recurring schedule. This article explains which reports exist, what each one answers, how to run and schedule them, and what to do when a report you expect is not there.

If no standard report gives you the columns you need, build your own with the Custom Report Builder. The difference matters:

Who can do this: users whose role grants access to the relevant report family under Manage Users. The Reports permissions are set per family (Benefits, Payroll, Time Off, Time Tracking and HR reports each have their own switch), so two admins can see different lists. The Employer Administrator sees every family. Custom Report Builder has its own, separate permission.

Note: A report family appears only when the module behind it is enabled for your company. Time off reports need the Time Off module, the Employee Turnover and EEO-1 reports need Hiring & Onboarding, and payroll and tax reports need UZIO Payroll.

Whose employees appear in your report

Two different settings decide what you get, and mixing them up is the usual reason two admins run the same report and get different files.

Which reports you can run is set per report family under Manage Users — Benefits, Payroll, Time Off, Time Tracking and Schedule, HR, and Custom Report Builder each have their own switch. This controls the list of reports you see.

Which employees appear inside them is set separately, by your role's employee access. In the role editor this is a single choice — "Select the group of employees whose data the user associated with this role can access" — with these options:

Every report permission states this plainly: a report returns results only for the employees your role can reach. Nothing on the report screen tells you which setting you are on, so a report that looks short is usually a narrower employee scope rather than missing data.

Beyond that, individual fields can be hidden from you even for employees you can reach, through the employee-level information permissions on your role. A report can therefore be missing a column rather than a row.

If your report looks wrong, check this first. Before assuming a data problem, ask your Employer Administrator what employee access your role has. Reports that summarise company-level figures behave differently from per-employee reports, so the two do not always reconcile.

Run a report now

  1. Open Reports from the left navigation. The available reports are listed on the left of the page. Click a report to read its description.
  2. Click Download Now.
  3. Answer the prompts the report asks for. Most reports ask for one or more of: calendar year, pay frequency, pay period or payroll number, a date range, an employee selection, or the output format.
  4. Click Run Report.

Small reports download at once. Larger reports run in the background. UZIO notifies you when the file is ready and places it in the View Reports area, where you download it from the Actions icon.

Schedule a report

Only some reports can be scheduled. A schedulable report shows a Schedule Later option next to Download Now.

  1. Select the report and choose Schedule Later.
  2. Choose the Frequency: Daily, Weekly, Bi-Weekly or Monthly.
  3. Set the Start Date and End Date of the schedule.
  4. Name the schedule, then click Schedule.

Each time a run finishes, UZIO emails you. The subject is the report name followed by "is downloaded", and the message asks you to log in and open the Reports section to collect the file. If a run fails, the subject is the report name followed by "download request has failed" and the message asks you to resubmit the request. Scheduled runs are listed on the report's page, searchable by schedule name and frequency, and can be removed with the delete icon.

Reports that offer Schedule Later:

  • Time Off Balance Report and Time Off Used and Scheduled Report
  • Payroll Deduction Report (benefit deductions from enrollments)
  • Over Age Dependents Report, Benefit Change Report, Class Reconciliation Report, Transparency Report, Enrollment Cost Report and Specialty Benefits Report
  • Employee Information Change Report and EOI Report

Some of these are also scheduled by UZIO automatically where they apply to your account: the Employee Information Change Report runs daily, and the EOI Report and Class Reconciliation Report run weekly. You do not need to set these up.

Which of these you see depends on your modules and permissions. Names on your screen may differ slightly from the catalogue names below.

Common problems

A report I expect is not in the list

Either the module behind it is not enabled for your company, or your role does not include that report family. Check with your Employer Administrator, who can grant the family under Manage Users. If the module itself is missing, contact UZIO Support at support@uzio.com.

I clicked Run Report and nothing downloaded

Larger reports run in the background. Wait for the ready notification, then open View Reports and download from the Actions icon. If you also use the File Center, check its Download Request tab.

I received the "is downloaded" email but cannot find the file

The email does not carry the file. Log in, open Reports, select the report and download from View Reports. The email is sent only for scheduled runs; on-demand runs simply appear there.

Is there a report that lists only overtime hours?

No standard report isolates overtime. Run the Payroll Hours Summary for the pay period and filter the overtime column in Excel, or build a Custom Report Builder template from the Time Entry Summary (Per Pay Period) field group, which has separate overtime fields.

I need columns from two different reports in one file

Use the Custom Report Builder. It joins Employee, Payroll, Time Tracking and Time Off data by employee in a single template.
