Creating a Custom Report Template

Modified on Mon, 14 Sep at 2:00 PM

Purpose

Custom Report Builder lets you build your own reports when no standard report has the columns you need. You choose fields from Company, Employee, Payroll, Time Tracking, Time Off and I-9/E-Verify data, set a date criterion, preview the result, and save it as a template. A template can be run whenever you like, or scheduled for automatic delivery.

You will find it under Reports > Custom Report Builder.

Note: Custom Report Builder replaced the earlier Custom Reports tool on July 15, 2026. Templates from the old tool were not migrated. Rebuild any report you relied on.

Who can do this: users whose role has the Custom Report Builder switch turned on under Manage Users (Reports section). The Employer Administrator always has it. If you do not see Custom Report Builder under Reports, ask your Employer Administrator to turn it on for your role.

Role & permissions: Having the switch is the first gate. The second is which data you can see. Company and Employee fields are available to everyone with the switch. Payroll fields appear only if your role has any Payroll permission, Time Tracking fields only with a Time Tracking permission, Time Off fields only with a Time Off permission, and the I-9/E-Verify fields only if your role can view Tax Compliance documents. A template that uses data you cannot see is not available to you, and opening it shows "You do not have access to this report template." Fields hidden by your role's sensitive-field settings are masked in the output.

The Custom Report Builder home page

Reports > Custom Report Builder opens with two tabs.

TabWhat it shows
Generated ReportsThe reports you have run. Each user sees only their own runs.
Report TemplatesThe saved templates you are allowed to see. Anyone with the Custom Report Builder switch, and the data permissions the template needs, can run them.

What data you can report on

Fields are grouped into six modules. You can mix modules in one template; UZIO joins the rows by employee.

ModuleField groupsNotes
CompanyCompany InformationLegal name, FEIN and similar. Pre-selected in every new template.
EmployeePersonal, Job Details, Job History, Additional Jobs, Family, Home Address, Home Address History, Mailing Address, Emergency Contact Details, Additional Information, Payment MethodA snapshot as of the date you choose. Job History and Home Address History return one row per change instead of one row per employee.
PayrollPayroll Detail, Earnings Type, Include Hours and Rate, Deductions Master List, Contributions Breakdown, Employee Taxes Breakdown, Employer Taxes Breakdown, Include Taxable Wages, Federal Tax Withholding, Workers Compensation, SOC CodesThe breakdown groups list your company's own earning, deduction, contribution and tax codes, so they differ between companies. Payroll data is available once the pay run is approved.
Time TrackingClock In / Out Details, Time Entry Summary (Per Pay Period), Time Card AuditTime Card Audit returns one row per edit to a time entry.
Time-OffTime Off Policy Details, Time Off Summary Details, Time Off History DetailsBalances, accruals and requests.
DocumentsI-9 Form Details, E-Verify Case DetailsSection 1 and Section 2 status, dates and E-Verify case outcomes.

DSP note: For Delivery Service Partner accounts, some field labels use Amazon terms and a few DSP-only fields (for example Station Code and DSP Code) are pre-selected in new templates. On non-Amazon accounts those fields do not appear.

Build a template

Step 1: Start a new report

  1. Go to Reports > Custom Report Builder.
  2. Click Create New Report.

The Report Details and Field Selection page opens. The modules and field groups are on the left. Your Selected Fields, in output order, are on the right. A starter set (company name, FEIN, first and last name, employee ID) is already selected.

Step 2: Name the report

FieldBehaviour
Company NamePre-filled with your company. If your organisation has several linked companies (EINs), choose which to include.
Report NameRequired. Saving without one shows "Enter a valid report name."
DescriptionOptional. Say what the report is for and any assumptions in its criteria.

Give the template a name that says what it contains, not when it runs. "Monthly Payroll Summary" works for a template you will run every month with different dates; "Payroll Summary January 2026" does not.

Step 3: Choose fields

  1. Click a module to expand its field groups.
  2. Click + next to a field to add it, or next to a field group to add every field in the group.
  3. Drag fields on the right to reorder them. Remove any you do not need, or click Remove All to start again.
  4. Use the search boxes to find a field by name.

Click Next when the list is right.

Note: The history groups (Job History, Home Address History, Time Card Audit) change the shape of the report. Each row is one change event, so an employee with five job changes appears five times. When you add one of these groups the builder limits the template to that module and shows a warning explaining why. Remove the history field to mix modules again.

Step 4: Set the report criteria

The Set Report Criteria page opens. Criteria are date filters. At least one is required to preview, and you can add up to three with Add New Criteria. All criteria must match for a row to appear.

Each criterion row has four parts.

PartWhat it does
ModuleWhich module the date filter applies to. Only modules you selected fields from are offered.
Date FieldThe date to filter on. The options depend on the module (table below).
OperatorIn Range, Equals or Not Equals. In Range also offers rolling presets: Today, Yesterday, This Week, Last Week, This Month, Last Month, Month-to-Date, Year-to-Date and As of Report Run.
DateThe date or range.

Date fields and limits by module:

ModuleDate fieldsLongest range allowed
EmployeeAs of Date (offered only when the template has no Payroll, Time Tracking, Time Off or Documents fields), Date of Hire, Termination Date. With a history group selected: Changed On, Added On3 years
PayrollPay Date, Pay Period Start Date, Pay Period End Date365 days
Time TrackingTime Entry Date, Pay Period From Date, Pay Period To Date14 days
Time-OffDate (requested), Status Change Date, Time Off Assigned Dateno limit
DocumentsAs of Dateno limit

Warning: A Time Tracking criterion cannot span more than 14 days. A longer fixed range is rejected with "Date range for TIME_TRACKING exceeds maximum of 14 days (requested: N days)". For a longer view, run the template per pay period, or use a rolling preset such as This Week or Last Week. Rolling presets are not checked against the limit at save time, so keep them to periods of 14 days or less.

Tip: Check Ask at Runtime on a date criterion when you will run the same template with different dates. UZIO prompts for the dates each time the report runs, so one template covers every month. Scheduled runs cannot answer the prompt, so use a fixed range or a rolling preset on templates you intend to schedule.

Step 5: Preview

Click Preview Report. The preview shows up to the first 5,000 rows. Use it to confirm the columns are right and in the right order, and that the criteria return the rows you expect. You can sort by clicking a column header, filter columns, and drag headers to reorder.

An empty preview usually means the criteria are too narrow. Widen the date range and preview again.

Step 6: Save

Save the report. It appears under Report Templates, ready to run or schedule.

Leaving the builder without saving prompts "You have unsaved changes. Are you sure you want to cancel?" Nothing is stored until you save.

Common problems

A module I expected is missing from the field picker

Your role lacks the permission that unlocks it. Payroll fields need a Payroll permission, Time Tracking fields a Time Tracking permission, Time Off fields a Time Off permission, and the I-9/E-Verify fields the Tax Compliance document permission. Ask your Employer Administrator to adjust your role under Manage Users.

I cannot open a template a colleague built

The template uses data your role cannot see, so UZIO shows "You do not have access to this report template." Either ask for the permission, or ask the colleague to send you the output.

A field I added shows no data

Either the criteria excluded every matching row, or nothing is recorded in that field for the dates chosen. Widen the date range in the preview. For payroll fields, remember data appears only after the pay run is approved.

My preview stopped at 5,000 rows

That is the preview limit, not the report limit. Save and run the template; the full result is in the download.

Why can't I add fields from another module?

You have a history group selected (Job History, Home Address History or Time Card Audit). These lock the template to their own module so the one-row-per-change results stay accurate. Remove the history field to mix modules again.
