Purpose
If your company runs benefits administration in UZIO but payroll in Paycor, this integration keeps the two in step. Employee records (hires, changes, terminations, rehires) come from Paycor into UZIO, and benefit enrollments with their deduction and contribution amounts go from UZIO into Paycor, so an election made in UZIO reaches the Paycor paycheck without re-entry. This article covers connecting a Paycor client, the four configuration steps, what the syncs do on each employee event, and what to check when an employee or an amount does not sync.
When to use this: only when Paycor is your payroll provider and UZIO is your benefits platform. If you run payroll in UZIO, none of this applies; deductions flow to payroll automatically.
Who can do this:
- In UZIO: users with access to the Integrations page (typically the Employer Admin). Your broker can also complete the setup on your behalf.
- In Paycor: an administrator who can create a custom field, supply the Legal Entity ID, and sign in to authorise UZIO.
DSP note: On Amazon Delivery Service Partner (DSP) accounts the Paycor tile is not shown.
What flows between Paycor and UZIO
| Direction | What moves | When |
|---|---|---|
| Paycor to UZIO | New hires, demographic and job changes, terminations, and rehires for the employees in the connected Paycor client | Once a day (morning), when Employee Sync is on; or on demand from the Data Comparison and Syncing page |
| UZIO to Paycor | Deduction and contribution amounts for approved enrollments, with effective dates; $0 amounts when coverage ends | About every 30 minutes, when Deduction/Contribution Sync is on; or on demand |
| Not synced | Family members and emergency contacts; pay history or paychecks (either direction); benefit plan details other than the mapped codes and amounts; terminations entered in UZIO (Paycor is the source for employment status) |
Paycor is the source of truth for the employee record. UZIO is the source of truth for enrollments and their amounts.
Prerequisites
- Paycor administrator credentials.
- The Legal Entity ID of the Paycor company. It is a 6-digit number shown at the top right of the Paycor portal.
- A custom field in Paycor named exactly Class (the name is case-sensitive), created for each Paycor company, with values identical to the Class values in UZIO and assigned to the employees who will sync. Class and Work Email are hard requirements: an employee missing either fails to sync and is listed in the failure email (see Settings).
Connect a Paycor client
- Open Integrations from the left menu, find the Paycor tile (category Payroll Integration), and click Setup. The tile always shows Setup; connection status is kept per client on the next screen.
- Click Add Client (top right) and enter the Legal Entity ID of the Paycor company that matches this UZIO company. You can add several Paycor clients to one UZIO company.
- In the client's action menu, click Connect. Sign in with the Paycor administrator credentials, acknowledge the data that will flow from Paycor to UZIO, select the legal entity, and click Integrate.
The client's status changes from Not Connected to Connected. Once the configuration below is saved it shows Configured.
Configure the client
Configuration is a linear flow of four steps. Return to any step later through Integrations > Paycor > Setup > Manage.
1. Organization data mapping
Map Work Locations, Pay Groups, Job Titles, and Departments: Paycor values on the left, matching UZIO values on the right. Work Location and Pay Group are mandatory in UZIO, so map them for every employee you intend to sync. Gaps do not block the save; they surface in the discrepancy report.
2. Deduction and contribution mapping
For each benefit UZIO offers, choose the Paycor pre-tax, post-tax, and contribution codes the amounts should flow under.
Rules:
- A code cannot be used for both a deduction and a contribution, and cannot be reused across benefits. A duplicate blocks the save with an error.
- Plan-level codes. You can override the benefit-level code for one plan with Manage Custom Code. The benefit-level code must still be set. UZIO resolves the code in this order: exact plan and tier match, then plan match, then the benefit-category code.
- HSA Single and Family tiers, and commuter transit and parking, can each have their own code through Manage Custom Code.
- Which tax treatment applies. A per-employee exception (see Common problems) wins first. A domestic-partner plan setting comes next. Only then, if both a pre-tax and a post-tax code are set, does UZIO use the pre-tax code.
- A contribution can be flagged Sync as Deduction so that it reaches Paycor through the deduction feed. This changes how it appears in Paycor and in the discrepancy report.
- Only benefits with plans effective from the start of last calendar year onward appear, so roughly the current and prior plan years.
3. Data comparison and syncing
Click Show Discrepancies to compare the two systems. UZIO matches each employee first by an existing mapping and otherwise by date of birth plus SSN. The comparison covers employee data and the deduction and contribution lines UZIO generates from enrollments (a code, a date, and a per-pay-period amount), checked against what Paycor holds. It lists employees in sync, mismatches, and Paycor employees missing from UZIO, and offers two downloadable audit reports: one for employee data, one for deductions and contributions.
Resolve a discrepancy by selecting the action offered and proceeding, or mark it Ignored to leave it as it is. Identification and resolution run in the background; a fly-out and a bell notification tell you when they finish.
Notes:
- Supported Paycor employee statuses are Active plus the terminating statuses Terminated, Laid Off, Resigned, Retired, and Deceased, all of which UZIO records as terminated. Employees in any other status show as missing and cannot be added.
- The comparison covers personal fields (name, DOB, SSN, gender, marital status, contact details), job fields (title, department, class, work location, employment type, FLSA classification, hire date), and pay fields (pay group, pay type, salary or rate). It does not cover family members or emergency contacts.
- You can finish initial setup without resolving every discrepancy and come back later.
- For an employee who already exists in UZIO, a Paycor value that UZIO does not recognise is not written; the existing UZIO value is kept.
- UZIO syncs all approved benefits data for current and upcoming enrollments, sends $0 lines for ended enrollments, and re-syncs after a Life Status Change and at renewal.
4. Settings
Two independent toggles control the scheduled syncs: Employee Sync (once a day) and Deduction/Contribution Sync (about every 30 minutes). You can run one without the other. Turning off Deduction/Contribution Sync stops new or changed enrollments from reaching Paycor until you turn it back on; on-demand syncs from the Data Comparison and Syncing page still work.
Enter one or more email addresses, separated by commas, for the failure notification. UZIO sends a summary of employees who failed to sync, batched a few times a day, so a failure is reported within a few hours rather than instantly. Put everyone who needs to act on a failed sync on this list.
What the syncs do on each employee event
| Event in Paycor | What UZIO does on the next employee sync |
|---|---|
| New hire (status Active) | Creates the employee, sends the welcome email, and opens the new-hire enrollment window if the employee is eligible |
| Termination | Records the termination with the reason mapped from the Paycor status (Deceased becomes Death; Retired becomes Retirement; Laid Off, Resigned, and Terminated become Voluntary Termination of Employment), notifies the employee, and ends benefits. UZIO then sends $0 amounts to Paycor for the active codes, effective from the benefit end date |
| Rehire | Sets the employee active again with the rehire date; new-hire enrollment reopens if eligible |
| Demographic change | Applies personal, job, and address changes. For a new employee, unrecognised values are skipped; for an existing employee, the current UZIO value is kept |
In the other direction, when an enrollment is approved in UZIO, the mapped codes are assigned in Paycor with the effective date and amounts, and existing codes have their amounts updated, within about 30 minutes. If a broker resets an enrollment, the previously assigned codes go to $0 and the new codes and amounts are sent once re-enrollment completes.
Common problems
An employee is in the failure email
The two hard requirements are Work Email and Class. Add the missing value in Paycor (and make sure the Class value exactly matches a UZIO Class), then wait for the next daily sync or run an on-demand sync from Data Comparison and Syncing. Other causes listed in the email are usually an unmapped work location or pay group; fix the mapping in step 1.
An enrollment was approved but the deduction is not in Paycor
Check, in order: that Deduction/Contribution Sync is on; that the benefit (and plan, if you use plan-level codes) has a code mapped; that the employee is matched to a Paycor employee (they appear as in sync on Data Comparison); and that 30 minutes have passed. Show Discrepancies tells you whether UZIO thinks the line exists in Paycor.
The domestic-partner cost is not being sent
Set the domestic partner tax treatment to Post Tax at the plan level and map a post-tax deduction code. Without a mapped post-tax code the domestic-partner cost is not sent.
How do I send an S-Corp owner's deductions as post-tax?
Add the employee as an exception with Manage Employee Exception on the Deduction and Contribution Mapping page and set their tax treatment to Post Tax for the benefit.
How do I set new codes for the renewal year?
In Manage Custom Code, select next year's plan and assign the code. Changing the code at the benefit level for the upcoming year also changes current-year enrollments, so use plan-level codes when the two years must differ.
Can one UZIO company connect to several Paycor companies?
Yes. Add each as a separate client and connect and configure each one. Payroll runs as separate entities; benefits remain one company in UZIO.
An employee works for more than one linked company. Which one syncs their record?
On the Data Comparison and Syncing page of the other company, select it as the employee's new primary company. UZIO syncs from there onward. A full transfer between linked entities is not fully supported; contact UZIO Support to clear the resulting discrepancies.
Everything stopped syncing and there was no email
The failure email covers employees that fail individually. If the Paycor authorisation itself lapses or is revoked in Paycor, the scheduled syncs fail as a whole and UZIO shows no alert on the Integrations page. Symptoms are a growing discrepancy list and new Paycor hires not appearing in UZIO. Open Integrations > Paycor > Setup, use the client's action menu to Connect again with a Paycor administrator login, then run Show Discrepancies to catch up.
Still stuck?
If a client will not connect, if syncs have stopped after reconnecting, or if you need an employee transferred between linked Paycor clients, please reach out to us at support@uzio.com or call +1-571-601-1752. Send your company name, the Paycor Legal Entity ID, the employee's UZIO Employee ID (not their SSN), the benefit and plan year concerned, the failure email if you received one, and a screenshot of the Data Comparison row. Questions about Paycor codes, custom fields, or the Paycor login go to your Paycor administrator or Paycor support.
