Purpose
A Qualifying Life Event (QLE) is a change in an employee's life, such as marriage, the birth of a child, or the loss of other coverage, that opens a Special Enrollment Period: a short window in which the employee can change their benefits outside open enrollment. UZIO calls the process a Life Status Change (LSC). Employees can report an LSC themselves. This article covers reporting one on an employee's behalf and completing the resulting benefit changes for them, plus the three event types only you or your broker can report.
Who can do this: the Employer Administrator, and any user whose role includes Benefits access with the ability to act on behalf of employees. Of the roles UZIO ships with, Benefit Admins can do this; HR & Benefit Support and Payroll Support are view-only. See Managing Users and Roles.
When to use this
Use the on-behalf route when the employee cannot report the event themselves: they have no portal access, they need assistance, or the deadline is about to pass. Otherwise, point the employee to My Benefits > Report a Change in the Employee Portal. Self-reported events carry the employee's own signature and the dependent details come straight from them.
Use it also for the three employer-only events (below), which employees never see in their portal.
Before you start
- The employee must be enrolled with effective coverage. An LSC cannot be added for an employee whose coverage has not yet started.
- One event at a time. UZIO blocks a new LSC while another event is pending or while any plan has a future effective date. Wait for the pending event to complete.
- You need an electronic signature on file in UZIO. The checkout step asks you to sign on the employee's behalf.
- Have the event date and, if the event adds someone, the dependent's name, date of birth, Social Security number, and any doctor details the carrier requires.
- Know the deadline. Each event type carries a reporting window set in the platform. The employee's reminder email shows the exact date by which the change must be completed. Report the event promptly; a late event may leave the employee waiting for open enrollment.
The events
Employees can report most events themselves: Marriage, Birth/Adoption/Guardianship of child, Divorce, Employee loses other coverage, Employee gains other coverage, Dependent gains other coverage, Loss of Medicare, Loss of Medicaid or SCHIP, Medicare Eligible, Medicaid or SCHIP eligible, Dependent ineligible due to age, Death of covered dependent, and Court Order.
Three events are employer or broker only and do not appear in the Employee Portal:
- Address Change: the employee's address has changed.
- Class Change: the employee's benefit class has changed.
- Coverage Maintenance: a maintenance change to existing coverage.
Which benefit changes each of these three events allows, and when to use them instead of a census edit, is not documented in this help center. Confirm with your broker before using one.
Report the event and complete the change
- Open the employee's record from Employees and choose Manage Life Status Change Event(s) from the Actions.
- Select the event and enter the Event Date. Changes take effect from that date, not from the day you report it. Add dependent details if the event adds someone.
- Click Initiate Change. UZIO offers two routes:
- Complete Enrollment opens the employee's enrollment so you complete it now, on their behalf.
- Initiate Change records the event and leaves the enrollment for the employee (or your broker) to complete. The employee receives a reminder email with the completion deadline.
- If you are completing it yourself, click Continue through the steps: confirm the event, review who is covered, add or update the dependent, and choose plans. Create Your Own Health Profile is the guided questionnaire; Show Me Medical Plans goes straight to the list.
- Check out: verify everyone's details (these go to the carriers), add doctor details for any new dependent, note any other insurance the family holds (for coordination of claims), accept the terms, sign, and click Submit Application.
- Choose whether to notify the employee, then confirm. The change appears on the employee's Benefits Dashboard.
Warning: Once submitted, the elections cannot be revised by the employee. Confirm the plan choices with the employee before you submit for them. If a submitted LSC is wrong, ask your broker to correct it.
What happens next
- Your broker is notified that the event was initiated, with the event name and date. Some LSC enrollments wait as pending until your broker approves them; the broker sees these on their dashboard and can approve or reject. If the change does not appear as effective within a few days, ask your broker whether it is pending approval.
- The carriers receive the change through the enrollment files your broker manages. The carrier may ask for proof of the qualifying event (a marriage certificate, a birth certificate, a loss-of-coverage letter). UZIO can email the employee that evidence is required; collect the document from the employee and pass it to your broker. Do not email identity documents to UZIO Support.
- Payroll deductions update. If you run payroll in UZIO, the employee's benefit deductions and your contributions are replaced for the affected dates as soon as the LSC enrollment is submitted (and approved, where approval applies). The new amounts start with payroll from the event's effective date. For tax-savings products (HSA, FSA, DCAP), UZIO's per-pay-period calculation spreads the new annual amount over the paychecks remaining in the plan year; a past event date does not produce catch-up deductions. - COBRA. For some events, UZIO can email the employee that a reported life status change indicates they are eligible for COBRA. UZIO does not administer COBRA. Notices, elections, and premiums are handled by your COBRA administrator or broker. See What Happens to Benefits When an Employee Is Terminated.
- The dashboard shows it. The event appears in the STATUS CHANGE panel of Benefits > Enrollment Overview for 60 days. See Tracking Open Enrollment.
Common problems
Why can't I find Manage Life Status Change for this employee? An LSC can only be added for an employee who is enrolled with effective coverage, and not while another event is pending or a plan has a future effective date. If the employee meets those conditions and the action is still missing, your role may not include the ability to act on behalf of employees; ask your Employer Administrator to check it under Manage Users.
UZIO says an event is already pending. Only one LSC can be open at a time. Find the pending event on the employee's Benefits Dashboard. If the employee started it and stopped, either complete it on their behalf or ask your broker how to clear it. Then report the new event.
The employee did not finish before the deadline. The reminder email warns that the employee's previous coverage "may be subject to change" if they do not complete by the deadline. What happens to the elections depends on the event and the plan. Contact your broker: they can see the enrollment's state and, where the rules allow, reopen or reset it.
The event date was weeks ago. Will the deduction catch up? Coverage takes effect from the event date, so the carrier bills from then. In UZIO Payroll, medical, dental, and vision deductions carry the event's effective date. For tax-savings products the new per-paycheck amount applies from the current date with no retroactive catch-up. If a catch-up deduction is needed, your payroll administrator adds a one-time adjustment on the next pay run.
The employee's deduction did not change after the LSC. Check that the LSC enrollment shows as submitted (not pending) on the Benefits Dashboard, and that a company-level deduction with Auto-Sync exists for that benefit type. Contact UZIO Support when the platform itself fails: the Initiate Change or Submit Application step errors, or a submitted LSC does not update the payroll deduction despite an auto-synced company deduction.
