Inviting a New Hire to Onboard Themselves

Purpose

Self-onboarding hands the typing to the person who knows the answers. You send an invitation configured with the documents they must sign, the tasks they must complete, and the time tools waiting for their start date; they register, work through their own journey, and you review and finish. It is the right default for almost every hire — the prospect enters their own SSN, address, withholding, and bank details, which is both more accurate and less work for you. The prospect's side of it is Completing Your Self-Onboarding.

Who can do this: Users whose role grants Prospect Onboarding, under Hiring and Termination in the role editor. The Employer Administrator has it by default. Building the templates the invitation draws on is gated separately by Manage Hire and Onboarding Settings, so someone can send invitations without being able to change what they contain. See Understanding Roles and Access.

When it's available

The Setup Self Onboarding action appears on the Prospective Employees page for prospects whose status is Saved (added without an offer) or Offer Accepted. If the offer is still Shared, Viewed, Rejected, Revoked, or Expired, resolve that first.

Note — the I-9 in the Documents step: if you include the I-9 form, UZIO prompts you to pick the Employer Signatory — the person who will complete Section 2 for these prospects. See Assigning the I-9 Signatory; the prospect's half is Completing Section 1 of Form I-9.

Note — what you pick on Time Tools is what they get. The overtime rule and break rules you choose here are stored on the prospect and applied to the new employee exactly as chosen when the hire completes. UZIO does not fall back to whatever rules their co-workers at the same work location use, so a blank here stays blank. If the person is overtime-eligible and no overtime rule is selected, the hire will fail rather than guess — see Common problems below.

Note — time tracking may already be decided for you: on Amazon DSP (Delivery Service Partner) accounts, overtime-eligible employees are enrolled in Time Tracking automatically, so the time-tracking choice in the Time Tools step may already be made. See Employee Setup and Rule Assignment.

The prospect receives the self-onboarding email, registers, and completes their journey — you can track their status on the Prospective Employees page, and you'll be notified to review and finish the onboarding when they submit.

Tip: The Tasks step is the difference between "onboarding" and "day-one chaos" — assign the internal prep tasks (equipment, access, induction) to teammates here so they're tracked in the same place as the prospect's own to-dos.

Common problems

The prospect says they can't finish onboarding in the app

Self-onboarding runs in a web browser (computer or mobile browser) — the UZIO Mobile App doesn't support registration or self-onboarding. The invitation link works fine in a phone's browser. Once they're an employee, the app covers day-to-day self-service.

A document is stuck "in progress" and onboarding won't complete

There is no self-service way to force a stuck document to finalize. So the hire isn't blocked, send the affected document (the offer letter, for example) to the new hire outside the onboarding flow, and raise the stuck document with UZIO Support — see Still stuck? below.

Do I have to assign the tax forms myself?

If you're a UZIO Payroll client, the federal and state W-4s are generated automatically when the employee completes their withholding — you don't assign them as documents. If you're not a payroll client, every available form is offered at setup and you tick the ones that apply to this hire.

The hire failed with an overtime-rule error

The prospect was marked overtime-eligible but no overtime rule was selected on the Time Tools step, and UZIO will not invent one — it stops the enrolment instead of enrolling someone under rules nobody chose. Open the prospect's self-onboarding setup, pick the right overtime rule on Time Tools (and their break rules while you're there), save, and complete the hire again.

I set up self-onboarding and now need to change what I shared

You don't have to cancel and start over. Editing the self-onboarding setup for that prospect lets you add or remove documents, tasks, and time-off policies after the invitation has gone out — it's on the prospect's action menu on the Overview tab. See Per-prospect actions.

When you save, the prospect is emailed an "Onboarding details updated" notice with a link into the portal, so they know something changed. That is not a new registration link — if the person never registered in the first place, use Send Registration Link instead. See How do I resend the invite?
