Managing Employer Custom Fields

Purpose

Custom fields let you track information UZIO has no standard field for, such as T-shirt size, badge number, parking space, certification level or union membership. Each custom field has a type, appears in a section of the employee profile, and can optionally be shown to or edited by the employee. Values are stored per employee and can be reported on.

Who can do this: the Employer Administrator, or a user whose custom role grants Settings under Company Access. See Understanding Roles and Access.

Custom fields are created in the Employer Portal on the web. Employees see and edit their custom fields in the Employee Portal.

When to use this

Use a custom field when the information belongs to the employee record and you want it consistent across employees, available on the profile, and reportable. Do not use a custom field for information UZIO already stores (work location, department, job title, pay rate); use the standard field so payroll, roles and reports keep working.

Create a custom field

  1. Go to Settings > Custom Fields and add a new field.
  2. Choose the field type:

  1. Configure the field's settings. The labels on your screen may differ slightly from the names used here.

  1. Save.

What happens after you save

  • The field appears on every employee's profile in the section you chose, empty until someone fills it in.
  • If you made it visible to employees, they see it on their profile. If you also made it editable, they can update it themselves; otherwise only admins can.
  • If you enabled it for new hires, prospects see it in the Additional Information steps of onboarding and it is carried onto their employee record when they are hired.
  • What happens to stored values when you later change or remove a dropdown option, or delete a field, has not been confirmed. Run an HR custom report on the field before you change it, so you have the current values.

Where custom field values appear

  • Employee profile (Employer Portal), in the section you chose.
  • Employee Portal, for fields marked visible to employee.
  • Onboarding, for fields enabled for new hires. See Adding Prospective Employees.
  • Census import. The employee census template can carry custom field values, so you can load them in bulk.
  • Custom Report Builder. The HR report type includes an Additional Information section that lists your custom fields as columns. See Creating a Custom Report Template.
  • AI Copilot, if enabled for your company. Custom field values are part of the employee data it can answer questions about.

Common problems

Employees cannot see the field. It is not marked visible to employee. Edit the field and turn that setting on.

Employees can see the field but not change it. It is visible but not editable by employee. That is the right setting for internal designations such as badge numbers. Turn on editable if the employee should own the value.

The field does not show up for new hires. It is not enabled for new hires. Edit the field and enable it for prospective employees.

I need to report on the values. Build an HR custom report and include the Additional Information section. Dropdown types are easier to filter and group than free text.

Tip: Make a field editable by employees when they are the source of truth (T-shirt size, preferred name pronunciation) and admin-only when it is an internal designation (badge number, security clearance). Use a dropdown wherever you will ever want to filter or count the values.
