Confirming Company Information for Payroll

Modified on Mon, 14 Sep at 1:59 PM

Purpose

Much of your payroll setup may have been pre-entered by a UZIO implementation specialist. Before you run payroll, verify that everything entered on your behalf is correct. Errors in company information flow straight into tax deposits and filings, and you are responsible for the accuracy of filings made from this information.

Who can do this: Any user whose role includes the Payroll permission. This is usually the Employer Admin, but other admin roles can be granted the same access.

What to verify, and against what

ItemCheck it against
Company legal name and EINYour IRS EIN confirmation letter (CP 575) or a prior filed Form 941
Company filing addressThe address on file with the IRS, not your mailing address
Work locationsThe actual addresses where employees work
Federal filing form and deposit scheduleYour accountant, IRS Publication 15
State withholding and unemployment account numbers and ratesYour state registration letters and the current year's rate notice
Company bank accountA voided check or bank letter

Steps

  1. Open the UZIO Payroll module. The first time, you see a Here is what we need screen listing the documents and details to have ready (EIN, state tax account numbers, employee W-4s, bank details, and so on).
  2. Click Get Started. The Payroll Setup checklist opens. Each row shows Start if the step is not yet complete, or View if it is.
  3. Open each row. Compare the pre-entered values with your source documents from the table above, and correct anything that is wrong on that step's page.

Expected outcome

Each confirmed item shows View on the Payroll Setup checklist. When every required step is complete, the Payroll Dashboard opens. For the full list of steps, their order, and what each one affects downstream, see the Payroll Setup Overview.

Warning: Do not approve pre-entered data without checking it. Once payroll setup is complete, the EIN becomes read-only on the Federal Taxation page and can only be changed by UZIO. Other tax details can be edited, but a wrong rate or deposit schedule that has already driven a deposit means a correction with the agency.
