Adding Company Bank Account Information

Purpose

This step sets up the bank account(s) UZIO draws payroll funds from: employee direct deposits, child support and other garnishment payments, and tax liabilities for each approved payroll. Because these accounts move real money, UZIO verifies them before use, and changes after setup are not fully self-service.

Who can do this: Any user whose role includes the Payroll permission. This is usually the Employer Admin, but other admin roles can be granted the same access. UZIO completes the verification.

Prerequisites

  • Bank account and routing numbers for a checking or savings account authorized for payroll debits
  • Proof of the account for verification, typically a voided check or a bank letter

What you can set up

UZIO allows a maximum of two accounts for drawing payroll funds:

  • One account for Payroll. It funds employee direct deposits, child support, and other garnishment payments.
  • One account for Taxes.

You can use the same bank account for both purposes by entering it once and selecting both purposes. If you use UZIO to print employee checks, the bank name on the Payroll account is printed on the checks.

Steps

  1. In the payroll setup checklist, open the Company Bank Accounts step.
  2. Enter the account details (see the field reference below).
  3. Save. You will see "Bank information has been sent for verification."
  4. UZIO verifies the account. Your implementation contact will ask for a voided check or bank letter, and may run a penny test (a small test deposit). Respond promptly. The step is not complete until verification finishes.

Field reference

Routing Number9 digits, checked against the routing-number validity algorithm. An invalid number shows "Enter a valid routing number".
Account TypeSavings or Checking.
Account Number5 to 17 digits with at least one non-zero digit. Must be unique. A duplicate shows "An account with same number is already added".
Bank NameOptional, up to 50 characters.
Account Used ForMulti-select: Payroll (covers direct deposit, child support, and garnishment) or Taxes. Required. Each purpose can belong to only one account. Assigning a purpose twice shows "You can not add two accounts for the same payment".

Note: PEO clients see two additional fields on this form: Routing Fraction Number and Starting Check Number.

Expected outcome

  • After you save, the account shows Pending. After UZIO verifies it, the account shows Verified and the setup step shows complete.
  • Once verified, each approved payroll debits the Payroll account for direct deposits and garnishments and the Taxes account for tax liabilities. See Understanding the UZIO Tax Payment Process for when each debit lands.

What happens if the account is not verified

  • A Pending account is a critical blocker on the Payroll Dashboard: "company bank account information is pending verification". You cannot start a pay run for the affected pay group until the account is Verified. See Troubleshooting: I Can't Start or Approve Payroll.
  • If you later edit the account and change the routing or account number, the account returns to Pending and must be re-verified before it can fund payroll.

Warning: Changing the bank account between payrolls is not self-service. Contact UZIO Support first (see below). Re-verification, including a possible penny test, takes time. Make changes well before your next payroll approval deadline, and never in the two business days before a pay date.

Common mistake: Saving account details and assuming the step is done. Verification by UZIO is a required part of this step. Without it, payroll cannot draw from the account.
