Adding an E-Signature to Check Stubs

Purpose

Employee paychecks must be signed. UZIO lets you save an electronic signature that prints automatically on the checks you print from UZIO, on pre-printed or blank check stock, so you do not hand-sign every check.

Who can do this: Any user whose role includes the Payroll permission. This is usually the Employer Admin, but other admin roles can be granted the same access.

Prerequisites

  • The name and job title of your check signatory, the person designated to sign employee checks, usually an executive or Head of Finance. Both fields are optional on the form, but adding them makes the record easier to identify.
  • A signature image, or the signatory available to draw one on screen

Steps

  1. Go to Payroll > Payroll Setup > Check Signatory.
  2. Optionally enter the check signatory's name and job title.
  3. Add the signature either by drawing on the canvas or uploading an image.
  4. Click Save.

Image requirements (if uploading)

  • File size: up to 5 MB. Formats: .JPEG, .JPG, .PNG, .BMP
  • The signature must appear horizontally, left to right.
  • The image is resized to fit a 250 × 28 pixel space on the check, placed above the signature line. Crop away extra white space above and below the signature. Otherwise it prints too small.

Easy ways to create the image: sign white paper in black or blue ink and photograph it; use a phone scanning app with a white background; or use a signature app that converts an on-screen signature to an image.

Expected outcome

  • The saved signature prints on every check PDF you download from then on, for both blank and pre-printed check stock.
  • If no signature is saved, checks print without a signature and must be signed by hand.

Note: UZIO does not print or mail checks for you. You print them on your own check stock from Payroll History. The e-signature appears on what you print. See Printing Employee and Contractor Checks.
