E-Verify Automated Reminders

Purpose

Some E-Verify case statuses put a clock on you: USCIS expects the employer to act within a set number of working days, and missing that window can close the case, produce a wrong outcome for the employee, or create a compliance exposure. UZIO watches your open cases for you and emails one reminder per case on each working day when action is still outstanding. The last reminder, on working day 10, is an urgent final notice.

You do not switch reminders on and you cannot configure them. This article explains exactly which cases generate reminders, on which days, who receives them, and what to do when the reminder reaches the wrong person.

Who can do this: Reminders are sent to the employer user who created the E-Verify case, with the Employer Administrator as the fallback when no creator can be resolved. Any employer user with access to the employee's I-9 can act on the reminder, not just the person who received it.

Note: Automated reminders apply to organizations using UZIO's native E-Verify integration only. If your organization uses the Clear I-9 integration, case reminders are managed within the Clear I-9 platform instead. See I-9 Verification and E-Verify with Clear I-9.

Which statuses trigger reminders

Only three statuses generate reminders — the three where E-Verify is waiting on you:

How the day number is counted: day 1 is the first working day after the case entered its current status. Weekends do not count. A case that enters Photo Match on a Friday gets its first reminder on the following Tuesday (working day 2), not on Saturday.

Note: Reminders stop after working day 10. The day-10 email is an urgent final notice, and nothing is sent after it. If a case is still outstanding past day 10, nobody will chase you again; check the case on the employee's I-9 record.

Note: No reminders are sent for Awaiting E-verify Submission or Draft cases. Both are automatic in-between states: UZIO's hourly job creates the case at E-Verify and submits it without any action from you, and E-Verify then returns a real status. No reminders are sent for resolved statuses either (Employment Authorized, Final Non-Confirmation, or Closed), because no employer action is required.

Who receives reminders

Each reminder goes to one person, resolved in this order:

  1. The employer user who created the E-Verify case.
  2. If UZIO cannot resolve that user to an email address, the Employer Administrator for the organization.

That is the whole chain. If neither resolves, the reminder is not sent and the failure is logged.

If UZIO cannot send the reminder, it tries once more about four hours later. UZIO's design then routes that reminder to the Employer Administrator's address. Do not build your process on that fallback. The person who created the case owns its reminders, and anyone else responsible for the case should check it directly on the employee's I-9 record.

Note: A "failed" send here means UZIO could not hand the message to its mail queue. It does not mean the email bounced, went to spam, or was never opened. Those are invisible to the retry. If the responsible person says no reminder arrived but the case shows reminders were sent, treat it as a mail-delivery question and check the address on the record first.

Note: The Section 2 signatory is not on the reminder path. The signatory does receive E-Verify status-change notifications (a new Photo Match, a new TNC). That is a separate email with its own routing, described in Assigning the I-9 Signatory. Reminders about an outstanding action always chase the case creator.

Note: Broker-portal and CSR users are never sent these reminders. Only employer users receive them, with the Employer Admin fallback.

What the reminder email contains

Each reminder includes:

  • The employee's name.
  • The current E-Verify case status, shown with the same label you see on the Documents tab.
  • A description of the action required.
  • The number of working days remaining before the deadline.
  • A direct link to the employee's Documents page in UZIO.

The day-10 email is flagged as an urgent final notice.

How to take action

Click the link in the reminder email to jump straight to the employee's I-9 form, or navigate manually:

  1. Go to the employee's profile.
  2. Open Documents > Tax and Compliance > I-9 Form.
  3. Click Actions next to the I-9 form.
  4. Select the action for the current status:

Common problems

Does the Section 2 signer get reminders?

No. Reminders resolve to the case creator, with the Employer Administrator as the fallback. The Section 2 signer is not on this path. Guidance that says reminders go to the creator and the signer is describing the status-change notification, which is a different email with different routing. The distinction matters: if the person who created a case has left, its reminders do not automatically start reaching whoever signed Section 2.

Why didn't the responsible person get the reminder?

Reminders go to the employer user who created the case. They do not go to the assigned Section 2 signatory, and they never go to broker-portal or CSR users.

If the case creator has left the company, do not assume anyone else is being reminded. The reminder keeps following that user's record for as long as UZIO can resolve it to an address, and the Employer Administrator is used only when it cannot. Keep a routine check of open cases on your side, keep the signatory current on new I-9 assignments (Assigning the I-9 Signatory) so the status-change notifications reach the right person, and where possible have the person who will own the case be the one who creates it.

I acted on the case but still got a reminder

There can be a short delay between your action and the status update coming back from E-Verify, and a reminder already queued for that working day still sends. Open the employee's I-9 record and check the current status. If it has moved on, no further action is needed and no further reminder will be sent for the old status.

The reminders stopped and the case is still open

That is expected. Reminders run for 10 working days only, and the day-10 email is the final one. After that, UZIO stops chasing and the case is yours to track. If a case has passed day 10 without resolution, act on it now. An unresolved Photo Match, Scan and Upload, or Tentative Non Confirmation does not resolve itself.

Can I turn reminders off?

No. Reminders cannot be disabled for an individual case or for the organization. They are a compliance safeguard. There is no setting for cadence, recipients, or opt-out.

Does the employee get reminders too?

Employees are notified when a Tentative Non Confirmation is issued, because they must decide whether to contest it. Employees do not receive reminders for Photo Match or Scan and Upload. Those are employer-only actions and the employee has nothing to do.

The reminder says a status I don't recognise

Reminder emails use the same status labels shown on the Documents tab, so the name in the email should match what you see in UZIO exactly. Every label is explained in E-Verify Case Statuses and Workflow.
