Tracking Who Has Finished Their Tasks

Purpose

The tracking view answers two questions: for one task, who has finished it and who has not; and for one person, how far through their onboarding or offboarding checklist they are. From the same screen you can nudge, complete, upload for, or remove any open assignment. Use it in the days before a start date, before a termination date, and after an organisation-wide acknowledgement.

Who can do this: users whose role includes the Task Library company-access permission (typically the Employer Admin and HR Admins). See Understanding Roles and Access in UZIO.

Open the tracking view

  1. In the left menu, open Tasks.
  2. The menu has two entries. Task Library holds the task definitions. Employees Task is the tracking view described here. Older guides describe the tracking tabs under Task Library; if your portal shows the tabs there, the pages behave the same way.

Ongoing tab: one task, many people

The Ongoing tab opens an overview of every ongoing task with three counts: how many employees it is assigned to, how many have completed it, and how many are still pending.

Click a task name to open its detail page: the list of employees the task is assigned to, each with their current status and due date. Past-due assignments are those still pending after their due date.

Onboarding / Offboarding tab: one person, many tasks

The Onboarding/Offboarding tab opens an overview of every employee who currently has at least one pending onboarding or offboarding task, with the same assigned / completed / pending totals per employee. Employees whose checklist is fully complete drop off this list.

Click an employee's name to open their detail page: the categories and the tasks in each, with status, due date and assignee for every task. The assignee is often not the employee (for example, IT for equipment), so this is where you see who is actually holding up a checklist.

Warning: Delete has no undo in the portal. If you delete the wrong assignment, assign the task again from the Task Library; the new copy starts with no history.

Common problems

An employee I onboarded is not on the Onboarding tab

The tab lists only employees with at least one pending onboarding or offboarding task. If every task is complete, or none was assigned, the employee does not appear. Check the employee's record, or the Ongoing tab if the task was created as an Ongoing task.

The counts do not match what I assigned

Each assignment is a separate copy. If you assigned the same task twice to one person, both count. Deleted assignments are removed from the counts.

I sent a reminder and the employee says nothing arrived

The reminder goes to the assignee's registered email. If the assignee has not registered, the email carries a registration link rather than a login link. Ask them to check spam, and confirm the email on their record is current.

Can I delete a completed task?

Delete is available on open assignments. A completed task stays in the employee's history as a record of who finished what and when.
