Purpose
Build the document templates your hiring runs on — offer letters, agreements, employee handbooks — once, with Smart Fields doing the per-candidate personalization. A template written properly is the difference between issuing an offer in two minutes and hand-editing a Word file for every hire.
Who can do this: Users whose role grants permission to manage the document library. UZIO grants it per category, so a role can be allowed to maintain handbooks and agreements without being allowed to touch offer letters. The Employer Administrator has all of them by default; a custom role gets only what you tick. See Understanding Roles and Access.
Use a template when the same document goes to more than one hire — offer letters, at-will agreements, the handbook. Don't build a template for anything that changes every time (compensation, start dates); those come from Smart Fields or per-prospect entry, not from editing a master before each send.
Where
The Hiring Documents page, in the Hire and Onboarding settings. Templates are organized by category. UZIO seeds the categories every employer starts with — Offer Letters, Agreements, Employee Handbooks and Tax and Compliance Forms, alongside the categories other parts of the product use for benefit enrollment documents, certificates and general additional documents. You can add custom categories for anything else your process needs.
Note: If you can't find Hiring Documents from the Hire and Onboarding area, search the left navigation for Hiring Documents.
Create a template
- Click Add Document next to the category name.
- Name the document and write the content — default content appears as a starting point and is fully editable.
- Insert Smart Fields where prospect-specific data belongs.
- Save. The template is ready to select when adding a prospect with an offer.
Smart Fields
Smart Fields are placeholder tags that auto-populate with the prospect's information when the document is shared — insert "Employee Full Name" once in the template, and every prospect sees their own name. That's what makes templates reusable instead of hand-editing every letter.
The three worth knowing by name:
- Employee Get Started WebLink — mandatory in the offer invitation email; it carries the prospect's unique link to review the documents.
- Document Accepted Date — auto-captures when the prospect signed or acknowledged.
- Company Signatory — the executive or HR signature applied on the company's behalf. You're prompted to set it up after creating a template (optional, can wait), and you can change it later in the Hire and Onboarding settings. The signature can be drawn, typed (you pick the font, and it's kept for next time), or uploaded as an image. A signatory saved before these modes existed opens on the Draw tab with the saved image.
Note: There is one Company Signatory per company. It is stored on the company record, not on the template, so changing it changes the signature every template applies from then on. If different documents need different signers, that is not something a template can vary.
Note: A document with Smart Fields can only be shared once the referenced fields are filled for that prospect — enter the data before sending the offer.
Tip: Keep one template per genuinely different offer type (exempt/non-exempt, DSP driver, intern) rather than editing one master before each send. Editing a live template to suit a single candidate defeats the purpose of Smart Fields, and it is safer to keep a template stable once you have started sending from it.
What happens after you share a document

Each person a document is shared with gets their own copy to act on, and UZIO tracks that copy in one of two tracks:
- Signature — the document includes the Employee Signature smart field. It sits as awaiting signature until the person signs it, then records as signed.
- Acknowledgement — the document has no signature field. It sits as awaiting acknowledgement until the person ticks the acknowledgement box, then records as acknowledged.
That is the whole set of outcomes. A hiring document has no "declined" state, so a person who doesn't want to sign simply leaves it outstanding. Chasing them is a conversation rather than a status change.
An offer letter is the exception that matters, because the prospect's own status moves with it. Until the offer is accepted you cannot start onboarding, and an offer nobody acts on ends at the offer expiry date you set on the prospect record. That date lives on the prospect, not on the template. See Tracking Every Hire for the status glossary and what to do at each one.
Signed and acknowledged documents stay with the person. Once the prospect becomes an employee, you find them on the employee's profile under Documents.
Common problems
Are the sample documents legally valid?
No — the provided samples are informational only, aren't automatically updated for law changes, and aren't legal advice. Run your templates past your own counsel.
Why won't UZIO let me share this document?
Because a Smart Field in it has no data for that prospect. The system blocks sharing a document whose Smart Field data is missing from that prospect's census — fill in the missing details on the prospect record, then share again. (Sharing with active employees is the exception: it's allowed, and missing values come through blank.)
What happens if a Smart Field has no data?
For a prospect, sharing is blocked until you enter it — see above. For an active employee, the document goes out with that value blank.
Can I use hiring templates with existing employees?
Yes — any template except offer letters can be assigned to an active employee via their profile > Documents > Assign Document.
Who needs to be able to edit templates?
Fewer people than you would think. Building templates is a one-time setup task, and the permissions are per category, so the person who maintains the handbook does not need access to offer letters. Grant offer-letter access only to the people who actually issue offers, since the template is where compensation wording and signature blocks live.
What if I leave out the Employee Signature smart field?
The document is shared without a signature request — the prospect acknowledges via a checkbox instead of signing. That's fine for a handbook acknowledgement and wrong for an offer letter, so check before you save.
Can I preset the salary in an offer template?
No. Compensation is entered per prospect every time, because pay differs per hire. Templatize the letter body, the Smart Fields, your custom fields, and the company signature — not the numbers.
Can I export a list of everyone's offer letters?
No single report consolidates document details across employees; documents are reviewed per employee from their profile. (The exception is the I-9, which does have a workforce-wide view through the Custom Report Builder — see I-9 & E-Verify.)
