Viewing and Editing Employee Usernames

Purpose

An employee's UZIO username is the email address they sign in with, on the web and in the UZIO Mobile App. From the Employees page you can look up an employee's username and change it. Both depend on the permissions your role carries for that employee, so a colleague may see the option where you do not. You most often need this when an employee forgets which email they registered with, when their email address changes, or before termination when their username is their work email.

Who can do this: the Employer Administrator, and any user whose role grants Employee Access to the employee. Your broker can also do this from their portal.

When to use this

  • An employee says "I can't log in" and is not sure which email they used.
  • An employee's email address has changed.
  • An employee is leaving and their username is a work mailbox that will be closed. See Terminating an Employee.

View an employee's username

  1. In the Employer Portal, click Employees in the left navigation.
  2. Find the employee (search or filter the list).
  3. In the Actions column, click the three dots for the employee and select Login Accounts (on some accounts this option is labelled View Username).

The window shows the employee's UZIO username and, where time kiosks are used, their kiosk login details.

If the option does not appear, the employee has not registered yet. Use Send Registration Link from the same menu instead.

Change an employee's username

  1. Open the employee's Login Accounts window (steps above).
  2. Click Change Username.
  3. Enter the new username (an email address not already used by another UZIO account) and click Update.
  4. Confirm the success message and close the window.

If the window shows the username but no Change Username option, your account does not allow employers to edit usernames. Ask your broker to change it, or contact UZIO Support (see Still stuck?).

What happens next

  • The employee signs in with the new username from their next login, on the web and in the UZIO Mobile App.
  • Their password does not change. If they have also forgotten their password, they reset it themselves from the login page. See Resetting a Forgotten Password.
  • Changing the username does not change the work or personal email on the employee's profile. Update those separately on the Personal page if they also changed.

Warning: At offboarding, if a departing employee's username is their work email, change it to a personal address before you complete the termination. Terminated employees keep web access to pay stubs and W-2s, and password recovery goes to the username address. The termination workflow alerts you when this applies.

Note: Administrators can look up and (where offered) change usernames, but can never see or reset an employee's password. Password resets are always self-service.

Common problems

"This email is already in use." Every UZIO username is unique across the platform. The employee may already have a UZIO account from a previous employer under that address, or another person is registered with it. Ask the employee which address they want to use, or use a different one.

The employee still cannot log in after the change. Confirm they are typing the new username exactly, and that they are using their existing password. If they cannot remember it, they should use Forgot Password on the login page.
