Purpose
The toolbar on the Regular Pay Details grid holds six tools for run-specific adjustments. Everything you do here applies to this pay run only. Employee profiles and future payrolls are untouched. For a permanent change (a raise, a standing deduction change), use Making Employee Payroll Updates instead. This article is the reference for all six tools. The run itself is covered in Processing a Regular Payroll.
Who can do this: Any user whose role includes the Payroll permission. This is usually the Employer Admin, but other admin roles can be granted the same access.
Note: A Special Payroll uses this same grid toolbar and shows a seventh tool, Gross-Up Net, that never appears on a regular run. See Grossing Up Net Pay. If your company has Deputy time tracking connected, regular runs also show a Sync Timesheets from Deputy button. It is a sync action, not a run-specific override, and is not covered here.
Supplemental Tax
Choose which company earnings are taxed at the supplemental flat rate for this run. The window reads: "Select the wages to be taxed at the supplemental flat rate. The selection you make will only apply to this pay period." You see a checkbox per eligible earning. Ticked earnings apply to all employees in the run. If no eligible earning exists, the window shows "No supplement wage added in company earnings".
Supplemental wages are payments outside regular wages, such as bonuses and commissions. Taxing them at the flat rate is optional. Confirm the treatment with your accountant for large one-time payments.
Note: If an employee has a tax override on their Federal or State Tax Withholding screen, check their taxes on the summary step before approving. Employee-level overrides and the run-level flat rate can interact.
Earnings Data Import
Bulk-load earnings for the run from a spreadsheet:
- Download the template. It is pre-populated with every employee in the pay run. The template includes a Qualified Overtime column for the FLSA premium tracked for W-2 Box 12 Code TT (see Managing Qualified Overtime). Uploading earnings re-prices the run's qualified-overtime amounts.
- Fill in the earnings amounts and upload (.xls / .xlsx only; other types are rejected).
Warning: The upload selects only the employees present in your file for the run. Everyone else is automatically unchecked. Re-tick anyone you removed from the sheet but still want to pay.
Deduction Data Import
The deductions counterpart: download the system template, fill amounts, upload. Mandatory columns: Employee ID, Deduction Code, Employee Amount/Percentage (other columns optional). Garnishments cannot be updated this way. Percentages are accepted only for deductions that allow percentage overrides (for example, SIMPLE IRA, SIMPLE 401(k)).
Pay Stub Note
Print a note on pay stubs for this run, up to 100 characters (a live counter shows what is left). Two scopes:
- Run-wide: the same note on every stub in the run.
- Per-employee: from the employee's row. It overrides the run-wide note for that employee.
Block Income Tax(es)
The Override or Block Income Tax(es) window controls federal and state income tax withholding for this run, per employee and per tax:
| Control | Effect |
|---|---|
| Block toggle | Stops calculating and remitting that income tax for this check. Any override amount is cleared when you block. |
| Override Type + One-Time Withholding Amount | Instead of blocking, withhold a one-time Flat $ amount or % of Taxable Wages (0 to 100%, two decimals). |
Warning: Blocking withholding does not hide the wages. Taxable wages are still reported to the IRS and on the W-2, so the employee may owe the tax at filing time. A tax blocked globally for the whole run shows grayed out per employee ("This tax has been blocked globally for all employees in this pay run") and cannot be overridden individually.
Non-Discretionary Earning Period
When you pay a non-discretionary bonus or commission, overtime for the period it was earned must be recalculated on the blended rate. This tool tells UZIO which period that is. Per earning, run-wide or per employee via the row (a global update replaces employee-level overrides):
- Amount: the non-discretionary earning amount.
- Period: Current Pay Period (the OT adjustment lands in this same run) or Custom Period (a past date range; UZIO recalculates that period's OT and pays the difference through your linked OT Adjustment earning).
- Start/End Date: required for Custom Period (end on or after start). Add Another Period handles multiple earnings.
Note: Custom Period requires an OT Adjustment earning at company level and UZIO Time Tracking (or Deputy). The form blocks saving otherwise. Set the period to when the earning was earned, not when it is paid. Worked examples: Non-Discretionary Bonuses and Overtime Calculation.
Common problems
My earnings file is rejected as "Invalid file template"
"Invalid file template. Please ensure the file uploaded is in the Uzio standard template"
Any modified or foreign file trips this. Re-download the template from this run's toolbar and edit only the amount cells. Do not add, remove, rename, or reorder columns, and do not reuse a template downloaded from a different run or payroll type.
Why is my (Rate) column header rejected?
Two suffix rules apply to earnings-import column headers:
"Invalid suffix for {earning}. Only acceptable suffix value is (Rate) for hourly earnings. No suffix should be included for non-hourly earnings"
The (Rate) suffix is valid only on hourly earnings' columns. A non-hourly earning's header takes no suffix at all.
"Invalid suffix for {earning}. OT, DOT, Break premium and Holiday premium earnings should always be derived from the Regular Wage rate."
Overtime, Double Overtime, Break Premium, and Holiday Premium never accept a (Rate) column. Their rates are always derived from the Regular Wage rate, so you can only import their hours, not a custom rate.
I need this change on every future payroll, not just this run
Everything on this toolbar is this-run-only. Make the lasting change on the employee's profile via Making Employee Payroll Updates.
